Facility Rental Agreement

Payment

  • Rental fees, equipment fees and required deposits must be paid 14 days before the event.
  • Payment may be made by cash, cheque or POS. Cheques are payable to Brandon Seniors for Seniors Co-op Inc.
  • Cancellations or no-shows within 14 days of the event may result in forfeiture of the rental fee.

Occupancy Limits

  • Occupancy limits are maximums and may not be exceeded — everyone counts, including children, infants, guests, organizers, volunteers, caterers, entertainers, security, vendors and staff.
  • If the limit is exceeded, individuals may be required to leave immediately or the event may be terminated without refund.

Right to Refuse, Cancel or Terminate

  • We may refuse, cancel or terminate a rental if the renter or event breaches this agreement or creates a safety, security or property risk.
  • Termination may result from breach, a substantially different use, exceeded occupancy, missing permits/insurance, unsafe or illegal activity, alcohol served without permits, disturbance, or property damage.
  • No refund is provided where termination results from a breach or prohibited activity, and the renter may be charged for additional cleaning, damage or other costs.

Prohibited Activities

  • No illegal activity, fighting, threats, harassment, weapons, or alcohol without required permits.
  • No smoking or vaping in prohibited areas; no exceeding occupancy limits.
  • No activities that could damage the building, furniture or equipment, or that create fire, health or safety hazards.
  • No candles or open flames (unless approved), no fireworks or pyrotechnics, and no hazardous materials.
  • Facility rules: no animals (service animals excepted), doors never propped open, no glitter/confetti/rice/birdseed, decorations must be flame retardant, and no glue/tacks/nails/staples on walls — only Sticky Tack or painter’s tape.

Alcohol & Licensed Events

  • All licensed events must comply with Manitoba liquor laws; the renter obtains and displays all required permits.
  • Non-compliance may result in immediate closure and forfeiture of rental and deposit fees.

Insurance & Liability

  • Where required, the renter must obtain event liability insurance and provide a Certificate of Insurance at least 14 days before the event.
  • Where applicable, the policy must name Brandon Seniors for Seniors Co-op Inc. as Additional Insured and remain valid for set-up, the event and clean-up.
  • The renter is responsible for the actions of all guests, volunteers, contractors, caterers, entertainers and vendors.

Renter Responsibilities

  • Responsible for everyone’s conduct and for any damage or injury resulting from use of the facility.
  • Book adequate time for set-up, decorating, catering, the event and clean-up; obtain all permits and licences.
  • Return the facility to its original condition and ensure all guests leave at the end of the rental period.

Keys, Security & Cleaning

  • Keys/access cards must be returned immediately after the rental and may not be copied or loaned; lost or unreturned keys may incur charges.
  • For licensed events, the renter arranges and pays for required security (present 30 min before and 30 min after alcohol service).
  • After the event: sweep floors, clean spills, wipe tables, remove garbage and recycling, remove decorations, and return furniture to its place.

Damage Deposit & Equipment

  • A $250 damage deposit is required for Don Glen Hall rentals, and may be withheld for damage, excessive cleaning, lost keys, alarm calls, or breach of this agreement.
  • Only equipment specifically approved and listed on the agreement may be used; the sound system and piano are not included unless arranged.
